Job purpose:
To provide operational, financial, and project support across key retail and construction initiatives in Austria. This role ensures accurate documentation, timely execution of internal processes, and smooth communication between cross-functional teams. The ideal candidate will be a proactive and detail-oriented individual who helps keep projects on track and information organized.

Key Responsibilities:
1. Finance Support
· Submit purchase orders (POs) and invoices accurately and in a timely manner using the Concur system.
· Assist with finance-related reimbursement processes, ensuring compliance and process efficiency.
2. Terminal Construction Support
· Work closely with the project lead to track and update the progress of ongoing construction projects, maintaining project requests and timelines in the online tracking system.
· Coordinate with Regional Sales Managers (RSMs) and Merchandisers to collect post-installation photos of fixtures and POSM.
· Organize and archive all relevant documentation for completed terminal construction projects (including photos, quotations, invoices, and request forms) on SharePoint.
3. Austria Retail Support
· Monitor the Austria Store List to ensure completeness of store information, including IHS data, competitor presence, and competitor field force details.
· Compile weekly reports on Promoters’ daily sell-out performance and summarize key store visit insights from RSMs and Merchandisers.
Job Qualifications:
· Proficiency in English is required; knowledge of German is a strong plus.
· Familiarity with Microsoft Excel and basic functions (e.g., VLOOKUP, SUMIF, IF, COUNT, etc.).
· Detail-oriented with strong organizational and communication skills.
· Reliable and capable of handling multiple tasks efficiently.
· Prior experience in project or administrative support is a plus.
