As an Office Assistant (part-time, 0.5 FTE), you will be responsible for ensuring the efficient day-to-day operation of the office. In this role, you will manage correspondence, office supplies and equipment, coordinate facility maintenance and external service providers, and support travel arrangements and safety compliance. You will also be actively involved in organizing internal events, welcoming visitors, and contributing to employee engagement activities, helping to create a well-organized, safe, and welcoming workplace.
What you´ll do:
- Ensure smooth day‑to‑day office operations, including correspondence, mail and courier services, document shipments, office supplies, and asset tracking. Monitor office premises for safety and functionality and coordinate maintenance or repairs as needed. Handle incoming phone calls, support visitors and colleagues with travel arrangements, and assist management with promotional or marketing activities.
- Plan and coordinate activities such as business travel and internal events. Support the organization and delivery of employee engagement initiatives, company events, and wellbeing activities in close cooperation with HR and management.
- Coordinate external vendors and services, ensuring reliable day‑to‑day service delivery.
- Support safety and compliance by following company policies, contributing to workplace safety activities, and reporting issues or risks in a timely manner.
- Live Air Dispatch values and teamwork principles by working in line with company objectives, collaborating with colleagues, acting as a role model of company values, and adhering to health and safety best practices.
- Policies & procedures: Act in line with company policies and processes to ensure compliant and smooth office operations.
- Financial and vendor support: Coordinate agreements with external service providers, oversee service quality, and support invoice control and budget adherence.
- Continuous improvement & problem solving: Proactively improve office processes and resolve operational issues related to equipment, services, or employee requests.
- Governance, safety & risk awareness: Support operational standards and safety requirements, including regular safety checks and hazard reporting.
- Customer support: Provide professional, timely support to internal employees, management, and external visitors, contributing to a positive workplace experience.
What you´ll bring:
- Previous experience in an administrative or office support role (part‑time or full‑time), with confidence in handling day‑to‑day office operations.
- Strong organizational and time‑management skills, with the ability to manage multiple tasks, prioritize effectively, and keep the office running smoothly.
- Excellent communication skills and a service‑oriented mindset when working with colleagues, management, external service providers, and visitors.
- Attention to detail and reliability, ensuring accuracy in administrative tasks, documentation, asset tracking, and coordination activities.
- Proactive and solution‑oriented approach, with the ability to identify issues, suggest improvements, and resolve operational matters independently.
- Basic financial and vendor coordination skills, including invoice handling, cost awareness, and cooperation with external service providers.
- Good IT literacy, including regular use of MS Office tools (Outlook, Word, Excel, Teams) and willingness to learn internal systems.
- Awareness of workplace safety and compliance, with readiness to follow policies, support safety initiatives, and report risks or issues.
