Tolgee is a localization platform for developers. We help teams translate and ship products in multiple languages faster. We're open source, we have users all over the world, and our HQ is in Brno.

Here's the important part: we are a team of 7 people. There is no big org chart. Everyone does more than one thing, and everyone talks to everyone. The founders sit in the same room as you. We move fast, we don't have much process, and when someone has a good idea, we just try it.

About the role

We're looking for someone to run the back office of our Brno HQ and support our sales team. You'll be the person who keeps quotes moving, the office stocked, our content going out, and the core team's travel sorted.

When you read the list below, it might look like three jobs in one. It's not. In a 7-person company, none of these areas is a full-time job on its own. Sales support might be a few hours a day, invoicing a few hours a month, and travel booking comes in waves. Together, they make one varied role for one organized person. If you like variety and hate letting things slip through the cracks, this is for you.

What you'll do

Sales support

• Follow up with leads and prepare quotes
• Answer first questions from potential clients
• Schedule and coordinate demo calls with prospects (invites, reminders, prep)
• Keep our CRM data clean and up to date

Office

• Order office supplies and equipment
• Organize internal events (team lunches, offsites) and external events (conferences, meetups)
• Be the go-to person for anything office-related, including onboarding new hires (equipment, desk setup)

Marketing

• Redistribute Tolgee content across channels (repurpose blog posts and LinkedIn posts for other platforms, schedule posts)
• Prepare video content for YouTube

Accounting & invoicing

• Prepare and send invoices to clients
• Track payments and follow up on overdue ones
• Coordinate with our accountant on expenses and bookkeeping

Travel & logistics

• Book hotels and transportation for the core team
• Plan logistics for conferences and events we attend

Other things that tend to land on this desk

• Managing SaaS subscriptions and vendor relationships
• Scheduling support for leadership
• Using AI tools (Claude, Cowork) to speed up repetitive admin work: drafting quotes, organizing tasks, first-pass research

What we're looking for

• English at C1 level. You'll talk to international clients and teammates daily
• Comfortable using AI agents like Claude and Cowork to get work done faster, and extremely willing to keep learning new AI tools and workflows, not just chatting with ChatGPT once in a while
• Strong organization skills. You don't drop follow-ups
• Some experience in admin, office management, or sales support
• Based in or near Brno. We'd like to see you in the office often

Nice to have

• Experience organizing events or conferences
• Interest in marketing or content

Salary

40,000-80,000 CZK gross/month, depending on experience.
